In Limassol the person paying for a system is rarely the person who will use it. Have you built anything like this for a firm in our sector?
Not in shipping, audit or law, and you should hear that now rather than after a deposit. We have built three custom systems: a CRM for wedding photography studios covering quotes through to delivery, an invite-only planning portal with a client-facing side and a back office for the business running it, and a supplier directory that shares its records with that portal so two sets of prices cannot drift apart. What carries across is the shape — records in one place, a login for your clients, a back office for whoever runs the day. Who owns the system, and what happens to our data if we stop working with you?
We build it, we host it, and the build stays with us — you are buying a working, hosted, maintained system rather than a folder of files, which is what keeps looking after it our job. Your domain stays registered in your name. Your records, and anything your clients put into the system, are yours to export at any time in a format another system can read. For personal data you remain what the rules call the controller — the one legally answerable for it — and we act as your processor, handling it only on your instructions and entering into a data processing agreement, the written contract your compliance people ask for, where one is required. Arrangements for releasing the system itself are agreed individually and set out in your proposal, so if owning the code outright is a fixed requirement of your procurement, say so at the enquiry rather than after a deposit.
We run a practice management or accounting system we cannot replace. Does that rule this out?
Usually the opposite. The build worth doing is the part that package was never meant to do — the client-facing side, or the step that currently lives in a spreadsheet beside it — sitting alongside what you have rather than replacing it. Whether the two can pass information to each other depends on the package: plenty of them will let another system read them, and some older or sector-specific ones have no supported way of doing it at all. We check yours during the review, before anything is quoted. If there is no connection we tell you what that costs in practice — a figure keyed in twice, or copied across on a schedule overnight — so you decide with that in front of you rather than meeting it at handover.
