Booking & Scheduling Systems
Let people book without the back-and-forth
The problem
Taking a booking by message costs four exchanges before anything is agreed: what have you got, is that free, can I move it, how do I pay. Every one of those is a chance for somebody to go elsewhere, and they usually arrive in the evening when nobody is answering. Meanwhile the calendar lives in one place, the deposit in another, and the person who needs to know is told last.
How we work
We build the booking into your own site rather than sending people to somebody else’s platform, so the customer never leaves and you are not paying a commission on your own regulars. It shows only what is genuinely free, takes the deposit at the point of booking, and tells your calendar and whoever is working that day at the same time. We have built this for a wedding photography CRM as an embeddable widget, and as a booking flow on venue and tour sites where the enquiry had to survive being read on a phone in another country.
What's Included
Only shows what is free
Availability comes from the calendar you already keep rather than a second one somebody has to remember to update. Nobody books a slot that was gone this morning, so you are not the one apologising for it.
The deposit is taken up front
Payment happens at the point of booking instead of becoming an invoice you chase. It also filters out the enquiries that were never going to turn up, which is most of the value of taking one.
Everybody told at once
The customer gets a confirmation, your calendar gets the entry, and whoever is working gets the detail. The three of them cannot drift apart, because none of them is being copied in by hand.
It lives on your site
Built into your own pages rather than handing the customer off to a third-party platform with its own branding and its own cut. Your regulars stay yours, and the booking counts as traffic to your site.

Questions
How much does an online booking system cost?
It depends on how much the system has to keep track of. A booking system that takes deposits and keeps several staff, services and rescheduling rules in step is a Business System, from €3,750 over four to eight weeks; a simpler flow — one diary, one service, no payment taken at the time — can often be built as a single automation from €1,250 in two to three weeks. All STRATEX prices include VAT and work starts on a 50% deposit. If you are not sure which of those you need, a €500 Systems Review looks at how bookings reach you now and comes back with a number before you commit to anything.
Can I take a deposit when someone books online?
Yes, and it is usually the main reason to take bookings online: the customer pays at the moment they choose their slot, so the money is in before the day rather than after it. The card payments run through an account opened in your own business name, so they land with you directly and the card provider's fee per transaction is paid to them, not to us — we never hold your money at any point. We will not tell you what to charge, but a deposit big enough to be missed is the part that makes people turn up.
Will an online booking system work with the calendar I already use?
Usually yes, and that is the point — availability is read from the one calendar you already keep, so nobody has to remember to update a second diary. The common ones such as Google, Outlook and Apple connect without difficulty; some older or industry-specific systems have no way of letting anything else read them, so we would need to look at yours before promising. If it cannot connect properly we will say so rather than build something that quietly drifts out of step with your real schedule.
Can two people end up booking the same slot?
No. Availability lives in one place and a slot is held the moment someone starts booking it, so two people cannot pay for the same time. The usual cause of a double-booking is a business keeping an online calendar and a paper diary at once — the system is set up so there is only ever one version of your availability.
