Working in Limassol

Limassol works to somebody else's clock. Ship management, the forex and fintech offices and the firms serving them deal with port agents, charterers and clients in other time zones, so the message that needs answering lands overnight and a reply is expected before your people are back at their desks. Much of it is paperwork rather than conversation too — a port invoice, a crew list, a signed form, each in a different layout and retyped by hand before anyone can act. That is what automation is worth paying for here: the overnight enquiry answered and filed while the office is shut, and the figures lifted off a document without being keyed in twice.

The Limassol market

  • Corporate and professional services — shipping, finance, legal and audit.
  • International staff and English-first communication, but with a domestic client base too.
  • A substantial hospitality and luxury retail sector around the Marina.

About an hour from our Paphos base along the coast road.

What's Included

01

Enquiries answered in under a minute

A first reply goes out the moment somebody sends the form, carrying the answers to the three questions everyone asks. Someone comparing you against two other businesses hears from you first rather than fourth.

02

Follow-up that never gets forgotten

The chase, the reminder and the second reminder go out on a schedule instead of when you remember. Work stops falling through the gap between a quote being sent and somebody having time to ring about it.

03

Your inbox, handled

Mail is read as it arrives, sorted by what it actually is, and the routine ones answered. What is left is the mail that genuinely needed you, instead of forty messages you have to open to find out.

04

Invoices and forms read for you

A supplier invoice or a completed form is pulled apart and recorded without anyone typing it into a spreadsheet — which is where most of the errors in a small business come from anyway.

05

One place things end up

Form entries, mail and payments land in the same list, already labelled, instead of being spread across an inbox and two spreadsheets. You can see what is outstanding without assembling it first.

06

It tells us when it breaks

Anything automatic can be knocked over by a change somewhere else — a renamed field, a supplier switching systems. Ours reports a failure to us rather than going quiet, so it is fixed before you notice it stopped.

Questions

Have you automated anything for a shipping, legal or audit firm before?

No — not in those sectors, and we would rather say so before you ask a second question. What we have built is FrameFlow, a booking and admin system for wedding photographers where the rules move each job from quote to contract to invoice on their own, and the private planning system behind Marry Me Cyprus. Different businesses, same mechanics underneath: something arrives, gets routed, gets chased, and every step leaves a record. What we cannot bring is your rulebook. Which checks are required, who signs them off and how long a file is kept comes out of a session with your own compliance people and gets written into the build rather than assumed.

Mail reaches us in English, Greek and Russian. Can the automatic replies match?

Yes. The reply can be picked by the language the message came in, so a charterer, a domestic client and a Russian-speaking one are each answered in the right one without anybody sorting the inbox first. Two limits worth knowing. Somebody at your end approves the wording in each language before it goes live, because a sentence that reads fine in English can land differently in something a client keeps on file, and it is your name at the bottom of it. And each extra language is more to write and more to check, so it is scoped as its own piece of work rather than assumed into the first one.

Our email and files are run by an outside IT provider, and sign-off comes from head office. What access would you need?

The exact list — which accounts, which permissions, and what each one is for — goes to your IT and to whoever signs off before any work starts, so it is reviewed in advance rather than in the middle of a build. Where an automation uses an AI service to read messages, that account is opened in your own business name and billed to you directly, so your IT can see everything connected to your mail and switch any of it off without going through us.
