One spreadsheet becomes four, each with a slightly different version of the same list, and the person who understands how they fit together becomes the only person who can answer a question. Off-the-shelf software solves this by making you work its way, which is fine until the part that makes your business yours is the part it cannot do.
How we work
We build the system around the way you already work. That usually means one place for the records that currently live in spreadsheets, a login for customers so they can see their own information instead of emailing to ask, and a back office for whoever runs the day. We have built this three times: a full CRM product for wedding studios covering quotes through to delivery, a private planning portal for a wedding planner with a couple-facing journey and a planner-side back office, and a supplier directory sharing its data with that portal so two sets of prices cannot drift apart.

You can take a full copy of your own data whenever you want it, in a format something else can read. Being locked in is not what should keep you working with us.

Questions
Should I have something built, or just use off-the-shelf software?
Off-the-shelf is usually the cheaper answer for the common jobs — accounts, invoicing, email — and if a product already does what you need, that is what we will tell you rather than build you something you could have bought. Building is worth it when the part that makes your business worth choosing is the part a product cannot bend to, or when the same information sits in several places and keeping those copies matched costs real hours every week. We have built a full CRM for wedding photography studios covering quotes, contracts, invoicing and a client portal, and an invite-only planning portal for a wedding planner with a private side where the planner runs it. A €500 Systems Review, one to two weeks, tells you which side of that line you are on before you commit to anything bigger.
How much does a custom system or client portal cost?
A Systems Review is €500 fixed and takes one to two weeks: we map how the work is done now and tell you what is worth building, what is not, and what it would cost. A single automation — one job that currently gets done by hand — starts at €1,250. A full business system, meaning one place for your records with logins for customers and a back office for whoever runs the day, starts at €3,750, and software you intend to sell to your own customers starts at €7,500. All prices include VAT and work begins on a 50% deposit; those are one-off build prices, with hosting and any care plan charged monthly on top.
How long does a custom system take, and what do you need from me?
A single automation is usually two to three weeks; a full business system is four to eight weeks from start to live. What we need from you is a few hours spread across the project — showing us how the job is actually done today, answering questions about the awkward cases that do not follow the normal pattern, and using it yourself before it goes live. Projects slip on decisions far more often than on the building, so how quickly those answers come back is the main thing that moves the date. If you have a date that genuinely matters, tell us before you pay a deposit and we will say plainly whether it is realistic.
Can the system be changed later as the business grows?
Yes, and that is most of the reason to have something built rather than rented. New fields, new steps, a report you did not know you needed — those are changes to your own system, not feature requests to a vendor who may never build them. Changes are quoted per piece of work, or covered by hours in a monthly plan if you would rather have a standing allowance.
